Resources
A resource is everything that can be booked: a cabin, a bed, a guide, a piece of equipment, an activity… The list tells you for each one whether visitors can book it, or what is still missing.
The form of a resource is in sections. Identity and Capacity are always open. Persons and notice, Nights and arrivals, and Participants, duration and people needed are folds: they open by themselves when they already hold a setting, and you open one to set an optional rule. Nothing is hidden according to the type.
- Individual — booked as a single block (a whole cabin). "Maximum persons per booking" limits how many persons one booking can bring (empty = no limit).
- Quantitative / shared — has a numeric capacity (6 beds in a dorm, 3 sleds) sold one place at a time. Each physical unit (a bed) has its own page, where it can be taken out of service without affecting the others.
"Duplicate" copies a resource with its units and recurring rules (never its slots or bookings); the copy is inactive until you activate it.
The description of a resource is optional. The customer sees it in the booking step, once he has chosen a date of that resource (for example what a cabin offers, or where the meeting point is). It follows the "Descriptions" setting of the booking block: it disappears when the block hides the descriptions.
Adding a resource
Adding a resource starts by choosing its kind: accommodation, activity, package or something else. The kind only decides which settings come first in the form. You can change any setting afterwards, and a resource of any kind can later get nights, slots or people needed.
The settings that matter less for the kind are folded under "Advanced settings": nothing is deleted, and they are saved with the rest of the form. With the Simple display (Settings tab), only the essentials stay in view. A setting that is in use always stays visible, and each fold shows a short summary of what it holds.
On the form of an existing resource, the opening times are summed up with a link to set or change them.
How it is booked
You do not choose how a resource is booked: it follows its availability.
- Nights (a check-in time, then a check-out time the next morning) make an accommodation booked by the night.
- Time slots (a date and a time) make an activity or a service.
- A resource can have both (a sauna by the hour or by the night): each offer then chooses what it sells.
- Tick the package box (named "Package" unless you changed it in Settings) only for a stay made of the nights and activities of other resources, filled in from its "Programme" link. A package can be booked on a date only if every night and activity of its programme is free that day, and, for an activity run by a guide, if someone is available.
Duration and start times
Two different things are set in two different places. A time slot is only a start time offered to the visitor (for example 9:00, 12:00 and 15:00). The duration is how long the activity lasts (for example 120 minutes): it belongs to the resource, so you enter it once, here.
Once a duration is set, you only type start times in Availability: the end of every slot is its start plus the duration (a 9:00 slot of a 120-minute activity ends at 11:00). If you change the duration later, the rules and the future slots nobody has booked follow; a slot that already has a booking keeps its times. Leave the duration empty if you prefer to type an end time on each rule yourself. A resource booked by the night does not use it.
People needed to run it
Some activities need someone to run them (a musher, a guide). Enter how many people the activity needs; leave the field empty for a resource that needs nobody, such as accommodation.
You then say in the Staff tab who can run which activity. A time is only offered to visitors while enough people are free for the whole duration of the activity, so two activities that need the same person are never offered at overlapping times. This requires a duration on the activity.
Rules of a resource
- Duration of the activity, in minutes (the end of each slot is its start plus this duration).
- Minimum number of persons per booking.
- Allowed combinations of adults and children (for example 2 adults, or 2 adults and 1 child).
- Minimum notice before the booked time (the default is in the Settings tab). You are never held back by it when entering a booking yourself.
- A minimum number of participants for an activity to take place: until it is reached, bookings are recorded without payment; the booking that reaches it pays at once and the others receive a payment link; at the decision time the activity is cancelled if it is still short.
- Periods (seasons) during which it can be booked.
