VEFmultiBooking help — Offers

Offers

An offer is what the customer actually buys — for example "Night in the cabin" or "Sled ride" — never the resource itself. Create it, link the resources it uses, set its prices, then publish it.

  1. Add the offer (it starts as a draft).
  2. Resources: link what it uses (an offer can use several resources).
  3. Prices and options: set the price, and the optional extras.
  4. Publish it. A warning under a published offer tells you what still prevents online booking: no resource linked, no price valid today (add a price whose period covers today in "Prices and options"), or no open slot with free places in the next 90 days.

"Duplicate" copies an offer with its links, its options, its prices and its questions; the copy is a draft until you publish it.

Link several resources of the same kind to one offer — for example identical rooms sold by the night. Once the dates are chosen, the visitor sees those that are free, each with its name, its description (typed on the resource) and the maximum number of persons, and ticks one or more. "Assign automatically", with a counter, lets the plugin take the first free ones for the visitor. The price is the offer's, and the total adds up the lines. Each one becomes a line of the cart, and each line has its own number of persons and its own number of nights, within the limits of that product. The options below apply to each one. When you enter a booking yourself, you pick the resource or leave it on automatic.

The description of the offer is optional and shown to the customer. In each booking block of your page builder, the "Descriptions" setting chooses where: under the offer title (the default), above or below the buttons of the booking step, or not at all. The Style tab sets the default of the whole site.

The price shown on each offer before the visitor chooses is also a setting of the block (and a default in the Style tab): "From" shows the lowest price, "Range" the lowest and the highest, "Every price" one line for each category or row of the price table, or no price at all.

Categories and quick editing

Categories are optional. Use them only if you have many offers and want a booking module to present a part of them (for example "Winter", "Family" or "Cabins"). You choose the words yourself, and give an offer one or several, separated by commas. In the page editor, the "Category" setting of the booking module, of the offers catalog and of the availability calendar then shows only the offers of that category, including the ones you add later. If no offer has a category, nothing changes and the setting is not shown.

The name and the categories of an offer can be changed straight in the list: type, then press Enter or click the Save button that appears on the row. The same quick editing exists for the questions of an offer and for the shared daily limits.

Prices and seasons

In "Prices and options", choose how the price depends on the number of persons: the same for everyone, per person, first person plus a supplement, a table (a price for each number of persons), or a price per category of customer (adult, student, child… each with its own price). The price can be per booking or per night.

A price can change with the period. Give a period (from, to) and save one price for each season: the price used is the one whose period contains the date, whatever the way the price is set. Tick "Repeat every year" for a season that comes back every year: only the day and the month of the dates count, so one price covers the season for all the coming years, even across the new year (1 December to 30 April). A price for a season that repeats wins over the other prices on its dates; a price without dates applies when no other one does.

For a price per night, each night of a stay is priced by the period it falls in, so a stay over two seasons is billed at the rate of each. Past prices are kept: existing bookings always show the price actually paid.

To avoid typing the same dates again, the dates of a price can be filled from a season named once in the Seasons tab. The dates stay editable.

Options and questions

Options are optional extras (breakfast, equipment…) that the visitor ticks in the booking form. Each option has its own price (also by period, or per night), and can be priced per person, per night, per quantity or flat.

Options per product. When an offer sells several products (for example three rooms), each product the visitor chooses has its own line, with its own options. Ticking "Breakfast" on one room does not add it to the others.

Options charged per person. For an option priced "per person" or "per person per night", a number of persons appears once the option is ticked. By default it covers every person of the line; the visitor can lower it (breakfast for 2 of the 3 persons of a room), never above the number of persons of the line. The price, the cart, the emails and the booking details show the option with its count, for example "Breakfast × 2". It works the same for any kind of product: equipment for a rental, a meal for a course, a transfer for a stay.

Questions are asked to the visitor when booking: a text, a number (a weight, a shoe size…) or a confirmation that must be ticked — once for the booking or for each person. For a minimum age, add a confirmation such as "I confirm that every participant is at least 16 years old": the visitor cannot book without ticking it. The answers are shown in the booking and can be put in the emails with {answers}.

Limits and validation

Shared daily limits (button at the top of the list): several offers can share a maximum per day, for example two sled activities that use the same dogs, at most 2 departures a day in all. "Departures" counts the different time slots that have a booking on the day — a visitor can still join a departure that exists, only a new one is refused; "Bookings" counts the bookings of the day. The limit holds for online bookings only: a booking you enter yourself is never refused.

Validation: tick "The owner validates each booking once it has been paid" in the offer (an accommodation, for example). The visitor pays online; the booking then waits for you and blocks its places. You validate it or decline it from the booking.
