VEFmultiBooking help — Emails

Email templates

These emails are sent automatically, so you have nothing to do:

Each template is a fold you open to edit its subject and body. The "Customised" badge marks the templates whose text differs from the default one, and the tokens you can use are listed in the "Available tokens" fold.

  • Booking confirmation and cancellation (to the customer).
  • Activity confirmed (payment link) and activity cancelled, for an activity with a minimum of participants.
  • Payment received, awaiting your validation (to the customer), and booking to validate (to you), for an offer that asks for your validation.
  • Booking declined and refunded (to the customer, with your reason).
  • Booking received, not paid yet (to the customer): sent when a booking is recorded without payment.
  • New booking (to you).
  • Several offers in one order: a single email to the customer and a single one to you, listing every booking, instead of one per booking.

You can also write to a customer yourself from their booking, at any moment.

Tokens

Use the tokens in curly braces anywhere in a subject or a text — for example {booking_number}, {customer_name}, {dates}, {total_amount}, {payment_link}, {answers}, {message}, {admin_link}; in the emails for an order with several offers, {order_lines}, {order_count} and {total_amount} (the total of the order). They are replaced by the real values only when the email is sent; the full list is under the templates.

The Sender section sets the name and address the emails come from (your site name and admin email if empty) and where the notifications for you are sent. Use "Send a test email" under a template to check it in a real inbox before taking bookings.
